Privacy Policy

This policy explains what information QuadFlow collects, how we use it, and the choices you have. We keep it short and plain. If anything is unclear, email us at Contact@getQuadFlow.com.
1. Information We Collect
Information you give us:
- Account details: your email address and password (stored securely hashed), or your name, email and profile picture if you sign in with Google.
- Your content: the tasks you create, their quadrant, status, and completion history.
- Your email preferences, such as whether you opted in to product updates.
- Messages you send us through the contact form.
Information collected automatically when you use QuadFlow:
- Usage data: pages you visit and actions you take in the app (for example, adding, sorting, moving or completing a task). We record that these actions happened, not the text of your tasks.
- Device and technical data: browser type, operating system, screen size, approximate location derived from your IP address, and referring website.
- Session replays: if you accept analytics cookies, we may record how you interact with the app (clicks, scrolling, page changes) to find and fix usability problems. Your task text and anything you type into form fields are masked and never visible in these recordings.
- Error reports, so we can fix bugs.
2. How We Use Your Information
- To provide QuadFlow: store your tasks, sign you in, and show your progress and achievements.
- To power AI sorting: when you use Brain Dump / Magic Sort, the text you enter is sent to our AI provider to be sorted into quadrants.
- To understand and improve the product: see which features are used, where people get stuck, and fix bugs.
- To communicate with you: send account-related emails, reply to your messages, and, only if you opted in, send product updates.
- To keep QuadFlow secure and prevent abuse.
We do not sell your personal information, and we do not use your task content for advertising.
3. Cookies, Analytics & Your Choices
When you first visit, we ask whether you accept analytics cookies.
- If you accept: we use cookies and local storage to recognise your browser across visits, and session replay may be enabled.
- If you decline or don't choose: we don't set analytics cookies and don't record session replays. We may still collect basic usage events (as described above) without storing anything on your device. If you are signed in, these events are linked to your account so we can understand how QuadFlow is used.
We also use strictly necessary storage to keep you signed in and to remember tasks you create on our free matrix tool before signing up. To change your analytics choice, clear this site's data in your browser and choose again when the banner reappears.
4. Service Providers We Share Data With
We use trusted third-party services to run QuadFlow. They process data on our behalf and only for the purposes below:
- Supabase: account authentication and database (stores your account and tasks).
- Netlify: website hosting.
- Google: Google Sign-In (if you choose it); Google Gemini, which receives the text you submit to Brain Dump / Magic Sort; and Google Analytics (only if you accept analytics cookies).
- PostHog: product analytics, session replay and error tracking (data stored in the United States).
- Loops: email updates to users who opted in.
- Resend: delivering emails, including replies to contact form messages.
- Telegram: internal notifications to the QuadFlow team when a new account is created (includes your email address).
We may also disclose information if required by law, or as part of a merger or acquisition, in which case we will notify you. Some of these providers are located in the United States, so your information may be processed outside your country.
5. Data Retention
We keep your account and task data for as long as your account is active. Completed tasks may be moved to an archive so your lifetime stats are preserved. Analytics data is kept only as long as it is useful for improving QuadFlow. If you ask us to delete your account, we delete your personal data, except where we must keep it for legal reasons.
6. Data Security
We implement appropriate security measures to protect your personal information. However, no method of transmission over the Internet is 100% secure.
7. Your Rights
Depending on where you live, you have the right to:
- Access your personal data
- Correct inaccurate data
- Request deletion of your data
- Object to or restrict processing, including analytics
- Withdraw consent at any time, such as unsubscribing from emails via the link in any email

8. Children
QuadFlow is not intended for children under 13, and we do not knowingly collect their personal information.
9. Changes to This Policy
We may update this policy as QuadFlow evolves. When we make meaningful changes, we will update the date at the top of this page.
